Why it’s time to ditch cPanel email and move to Microsoft 365

cPanel email was built for websites, not businesses

cPanel is a web hosting control panel. Email was added as a convenience feature, not designed as a serious business communications platform. That means deliverability is often patchy, spam filtering is basic, and there’s no real mobile synchronisation. The shared mailbox problem you probably don’t realise you have

This is where we need to have a real conversation. A lot of small businesses, particularly those that have grown organically, end up with multiple staff sharing a single email account. Everyone logs in with the same username and password. It seems practical, but it’s one of the more dangerous things you can do from both a security and an operational standpoint.

Shared passwords are a serious risk. When multiple people share a single email login, there’s no way to know who sent what, no way to revoke access for one person without changing the password for everyone, and no audit trail if something goes wrong. If a staff member leaves on bad terms, they still have full access to your inbox until someone remembers to change the password. And if that password has been reused elsewhere, you may have a much bigger problem on your hands.

Microsoft 365 solves this properly. Every staff member gets their own account with their own login, and multi-factor authentication means that even if a password is compromised, your email stays protected. When someone leaves, you disable their account instantly with one click, no scrambling.
